1. Role & Data Governance Structure

Under data protection principles, TaLenX functions in dual capacities depending on the context of the data processed:

  • Data Controller: For your customer account details, login credentials, transaction identifiers, and direct communications with us, TaLenX acts as the Data Controller.
  • Data Processor: When you upload or submit candidate resumes, job criteria, and applicant profiles for technical evaluation, your organization acts as the Data Controller, and TaLenX acts strictly as a Data Processor acting on your instructions.

2. Information We Collect

We collect personal information necessary to deliver, maintain, and optimize our Services across the following categories:

A. Account & Identity Information

When you create an account, request access, or sign up for services, we collect:

  • Name and work email address.
  • Secure authentication tokens and session identifiers.
  • Organization or company name (if provided).

B. Recruitment & Evaluation Inputs

To perform candidate verifications, you provide information including:

  • Target job descriptions, required competencies, and role prerequisites.
  • Candidate resumes and curriculum vitae submitted in document or text format.
  • Information extracted from candidate materials (such as employment history, education, claimed skillsets, contact details, and links to professional profiles or public code repositories).

C. Public Professional Footprint Data

When a candidate evaluation is initiated, our automated verification engine may query and analyze publicly available professional footprints referenced in candidate materials (such as public software repositories, programming language statistics, and public commit metadata) to verify claimed technical competencies against empirical evidence.

D. Billing & Transaction Records

If and when paid services or credits are utilized, our third-party payment processing partners manage transactions securely. We retain only non-sensitive transaction references, purchased entitlements, and timestamp records. We do not collect, process, or store raw credit card numbers, debit card details, or banking passwords.

3. Ephemeral In-Memory Document Processing

TaLenX is engineered with a strict ephemeral processing architecture:

  • Volatile Memory Extraction: Uploaded resume files (such as PDF, DOCX, or text files) are parsed dynamically in volatile memory during the active screening process.
  • Zero Archival File Storage: We do not retain raw document files on permanent server file storage or archival file repositories.
  • Structured Results Only: Only the generated structured evaluation outputs (such as competency match analysis, skill verification signals, and customized interview preparation kits) are saved under your authenticated workspace for historical audit logs.

4. How We Use Information

We process collected information strictly for legitimate business and service delivery purposes:

  • To evaluate candidate competencies against specified job criteria.
  • To generate customized technical interview question guides and assessment scorecards.
  • To maintain account authentication, issue access credentials, and prevent platform abuse.
  • To monitor platform health, performance reliability, and operational stability.
  • To respond to your support requests, inquiries, and customer service communications.
  • To comply with applicable legal obligations and enforce our Terms of Service.

5. Automated Processing & Artificial Intelligence

Our Services employ automated data processing pipelines, natural language processing, semantic entailment models, and multi-signal verification algorithms to parse resumes, evaluate candidate qualifications against job requirements, analyze public technical footprints, and formulate customized technical interview guides.

  • Automated Evaluation & Scoring: When an evaluation is requested, our algorithms automatically process submitted candidate materials, cross-reference claimed competencies against context, and generate structured evaluation reports, scores, and interview kits.
  • Customer Responsibility for Hiring Outcomes: While our platform generates automated technical analyses, assessments, and recommendations, TaLenX does not make legal employment offers or final hiring contracts. All employment decisions, interview invitations, and candidate selections remain the sole responsibility of the customer organization utilizing the platform.
  • No Model Training on Private Candidate Data: We do not sell your candidate data, nor do we utilize proprietary customer evaluation data to train publicly accessible machine learning models without explicit authorization.

6. Information Sharing & Third-Party Service Providers

We do not sell, rent, or trade your personal information. We share information only with trusted third-party service providers who assist in operating our platform, subject to strict confidentiality agreements:

  • Cloud Infrastructure Providers: For secure data hosting, container execution, and computational operations.
  • Authentication & Identity Partners: To securely manage user identity verification and tokenized session access.
  • Payment Processors: To handle encrypted billing and payment transactions if paid tiers are engaged.
  • AI & Inference Partners: For processing natural language understanding and question generation under enterprise data protection terms.
